Application Procedures for Incoming Exchange Programme 2017/18:

Entry Requirements

In order to apply for the exchange programme at HKU, you must meet the following criteria:

  • Undertaken a minimum of 1 year of university level study by the time you start at HKU
  • Applicants to Faculty of Law: at least upper second-class honours (2:1) results (which converts to approximately a CGPA of 3.33 or above on a 4.2 scale)
  • Applicants to Faculty of Business and Economics: a grade level of B average / CGPA 3.0 / Satisfactory level
  • English Language requirements for non-native English speakers

Step 1: Nomination by home institution

You can apply to the Incoming Exchange Programme if:

(1) you have fulfilled the entry requirements set by the faculties of HKU;

(2) you are nominated by your home institution and your home institution is in exchange partnership with HKU.  Please check with the exchange office of your home institution for further information.

After receiving the nomination from your home institution, we will send you an invitation email to application. Please complete the online application as soon as possible so that you can receive your admission letter on time around June for September intake and December for January intake.

If your home institution is not an exchange partner with HKU, you may consider applying for Visiting Student Programme.  For details, please refer to http://www.aal.hku.hk/admissions/international/admissions-information?page=other-study-opportunities

Step 2: Invitation to online application

  1. After receiving the nominations from your home institution, we will send you the link of the application with the login name and password. Please note the following:
    • An invitation email will be sent to you on or after the application start date through the email address given by the exchange office of your home institution. 
    • If you are not able to receive the invitation email in the first week of the application period, please contact the exchange office of your home institution as soon as possible. 
    • We will send you emails in the future through the email address used for the application. If the email address is incorrect, please let us know as soon as possible. 
  2. Please make sure the following information is correct in the application:
    • Name - it has to be as same as the one shown in your passport. Please contact us if you find your name is wrong and we will only be able to help you to amend the related information after you submitted your application.
    • HKU ID - only provide it if you have studied at HKU. It should be a 10 digit ID number as shown on your HKU student card. If you have never studied at HKU, please leave it blank. 
    • HKID - provide it if you have a HKID card.  If not, please leave it blank.
    • Passport number - make sure the passport you provide is valid until the end of your proposed exchange period plus 6 months extra. Otherwise you may not be granted with a student visa.

Step 3: Supporting documents submission

Applicants are required to complete the application with submission of the required supporting documents as follows:

A. Exchange Application Documents**

(i) To be verified and uploaded by exchange co‐ordinator of applicant’s home institution:

(1) Official Transcript

  • Include translation if not in English
  • Online  / unofficial academic results will not be accepted

(2) Proof of English Language Proficiency^
If English is not your first language or teaching medium in home institution is not English, you will need a recognised and valid English Language qualification to be admitted into the exchange programme.

^Applicants whose native language and/or the medium of instruction of home institution is English, will have to upload the “English Language Proficiency Statement for Incoming Students” signed by their exchange coordinator of home institution in their online application. We have already sent the Statement template to our partner exchange coordinators.
The University of Hong Kong reserves the right to ask for further proof of sufficient English language proficiency. 
(ii) To be uploaded by applicant:

(4) Curriculum vitae (for Faculty of Law applicants only)

**Hard copy of the exchange application documents is not mandatory as long as the documents are submitted to the application system accordingly. We shall communicate with you immediately should the hosting Faculty require to receive hard copy of the documents.

B. Visa Application documents

Check carefully to see which office you should approach for the visa application:

(i) China Affairs Office (CAO) - For Mainland Chinese students, and Chinese students from institutions outside China:

(1) Visit http://www.als.hku.hk/hkucao/svapp_e.php for further information.

(2) Submit online application via CAO.

(ii) Centre of Development and Resources for Students (CEDARS) - For Non-local students with nationalities other than Chinese, or Chinese nationals with residency in overseas:

(1) Visit http://www.cedars.hku.hk/sections/campuslife/VisaMatters/FormsNotes.php for further information.
(2) Send soft copy of complete set of application by email to visa‐exchange@cedars.hku.hk for checking.
(3) Mail hard copy of complete set of application to:

***All documents must be with hand‐written signature of the applicants. Printed or soft copies will not be accepted. You may be requested to submit other supporting document(s), if any, as well.

Once you are admitted to the exchange programme, you can email the signed admission letter to CEDARS or CAO. Your visa application will be forwarded to the Hong Kong Immigration Department for processing, which normally takes 6-8 weeks.

Once your visa application is approved, CEDARS or CAO will send a visa label to you by courier.

Please stick the visa label onto your passport and present it to the Immigration Officer upon arrival at the Hong Kong International Airport.

Step 4: Accommodation application submission

Please apply for accommodation with your 10-digit application number through CEDARS  at "Accommodation for Newly-admitted Non-local Undergraduate Students" according to the following timeframe:

Competition for halls at HKU is keen. Please make sure you apply as soon as possible and you can apply before being offered admission per the application schedule above.  After you have been admitted to the exchange programme, CEDARS will continue to process your hall application upon receiving your duly signed admission letter.

Application results will be sent by CEDARS through email.  If you are offered a place in any of the halls, you need to confirm by email with the hall manager for whether you would accept the offer and the check-in date.  The offer will be withdrawn if no acceptance/response is received from you. You are therefore required to make sure we have your most current email address and to check your email regulary during the above periods.

Step 5: Exchange offer acceptance

Your proposed faculty will review your application after the application deadline AND receipt of your application with the required supporting documents. Exchange offer will be released according to the following timeframe by email.

Please print and sign your admission letter and follow the instructions in the email to confirm your acceptance through the system. You are also required to forward your signed admission letter to the faculty, accommodation office and visa office for their further processing.
